Keep records with an app

Expenses, clients and orders end up scattered across chats, photos and spreadsheets nobody opens twice. Describe what you want to keep track of, and Tatsu sets up a small app in your Library: one page where every entry is a row.

Takes about 4 minutes

Steps

Step 1 of 5

A record holds up when every entry has the same parts

A note in a chat is easy to write and hard to use later: the amount hides in a sentence, and nobody can tell who added it or when. A record works when every entry has the same parts, kept in one place, the way every row in a table has the same columns [1]. For an expense, those parts could be the date, who was paid, the amount and what it was for.

Keep the paper next to the row. With the receipt at hand, anyone can check the number against what really arrived.

What Tatsu can do

  • Set up a small app from a plain description, with the columns it needs.
  • Add rows from your own chats, including from a photo of a receipt or a form.
  • Read the rows back to answer questions, such as what you spent in March.
  • Change how the app looks or works when you ask, from “Ask Tatsu about this app” in the app's menu.

What Tatsu cannot do

  • Correct or delete a row once it is added: Tatsu has no action for it. You can, if the app has a control for that; ask Tatsu to add one.
  • Add rows from a conversation your team shares. Add them from your own chats.
  • Export the rows to a file: there is no export. Ask Tatsu to list them in one of your own chats instead.

How it fits with your Library, memory and apps

An app keeps your records, your Library keeps the papers, and memory keeps how you work. A receipt photo you send in a chat is saved to your Library, and its numbers become a row. Ask about your spending and Tatsu reads the rows; ask about a contract and it reads the file and cites the line, as in Answer from your files.

You stay in charge

  • You choose who can use the app, and what each person can do.
  • Before access is taken away from anyone, Tatsulok asks “Change who can use this app?”
  • Deleting an app moves it and its rows to Trash, where you can restore them.

Privacy

  • An app and its rows live in your Library, encrypted at rest, and count toward your storage.
  • Each row records who added it and when, and whether Tatsu added it.
  • People you invite who have an account get a notice in Tatsulok, unless they turned these notices off. Only those who chose email notices also get an email, and it comes from Tatsulok's own address, not your mailbox.

Questions

What can I keep track of?
Things that fit in rows, such as expenses, clients and follow-ups, stock and orders, visits, deliveries. Describe it in plain words.
Who sees the rows when I share an app?
“View” can see the app and its rows. “Use” can also add rows. “Edit” can also change the app. With “Anyone with the link”, anyone who opens it sees the app empty; if you let them add rows, they sign in first, each sees only their own, and you see them all.
Do the people I invite need an account?
Yes. They sign in to Tatsulok with the email address you invited to open the app.
Can Tatsu fix a wrong row?
No, Tatsu has no action for it. Change the row in the app if the app has a control for that, or ask Tatsu to add one.
How do I delete an app?
In “Apps”, right-click the app, or press and hold it, and choose “Delete…”. The app and its rows go to Trash.
